How to keep a register of contractors in InstaDoc?

The InstaDoc system allows you to keep a register of contractors in an automated mode. Counterparts are conditionally divided into three categories:
1) legal entities and sole proprietorships registered in Ukraine, data on which are contained in the EDR;
2) non-resident legal entities registered outside Ukraine;
3) natural persons.

In order to add a counterparty, you need to go to the "My counterparties" menu and choose one of the three categories of counterparties listed above;
A. When adding a legal entity/FPO registered in Ukraine, you need:

1. click the "Add counterparty" button on the left. 2. then enter EDRPOU/TIN or the name of the counterparty. 3. click the "Details" button to view the counterparty's data, or the "Add" button if you want to add this particular subject.

 

 

4. Fill in the data on the manager, which are removed from the UDR, for example, position, full name in the genitive case, the basis of activities (in the genitive case), you can also record restrictions on the substance and term of office. Pay attention! You can choose a representative from the natural persons that you have already entered in the register of counterparties. 5. Fill in the bank account details. 6. Fill in additional information about the counterparty, if necessary. 7. Add the counterparty's KYC documents to its profile.

 

 

Pay attention! The manager's data appear in the register of natural persons.

B. when adding a legal entity/FOP registered outside of Ukraine, you must:

1. Enter all the data of the counterparty manually.

 

B. when adding a natural person, you need:

1. Fill in all personal data manually.

Pay attention! if you have different passports, you need to add one more natural person with the name as written in the additional identity document.

Advantages of the system:

1. verification of the counterparty for registration in the UDR;
2. verification of the TIN in the register of VAT payers;
3. the possibility of unlimited addition of representatives of legal entities and their accounts, taking into account the IBAN standard;
4. addition of non-residents and natural persons;
5. when adding a legal entity, its manager is added to the register of natural persons automatically, as well as the possibility of adding a representative from already established natural persons.
